This notice describes the gallery's handling of member, photo, and linked-video data. Authentication remains with the separate AD4x4 membership service.
Information the gallery uses
- Membership profile details returned by the AD4x4 authentication service, such as your member ID, username, level, and avatar.
- Photos you upload, their thumbnails, captions, EXIF metadata, and optional GPS coordinates.
- Gallery activity such as uploads, downloads, favorites, moderation actions, login events, and security logs.
- For YouTube links: the YouTube video ID, public title, a locally cached public thumbnail, the album, and the member IDs that add or remove the link.
Why it is used
We use this information to authenticate members, display and organize club media, apply access controls, moderate content, diagnose problems, protect the service, and maintain an audit trail.
YouTube video links
When an authorized member previews or adds a YouTube URL, the gallery requests public title and thumbnail metadata from YouTube without an API key. The gallery stores the video ID, exact public title, and thumbnail so album pages do not need to contact YouTube just to display the card.
Choosing to watch opens the canonical video page on YouTube in a new tab. At that point, YouTube can receive information from your browser and its own terms and privacy practices apply. The AD4x4 Gallery does not embed the YouTube player, copy the video, or send your AD4x4 login token to YouTube.
See the YouTube Terms of Service and Google Privacy Policy.
Sharing and retention
Gallery content is shared with members according to album visibility. Public albums may be viewed without signing in. Board members can review trashed content for moderation and recovery. Linked-video metadata is refreshed or removed when it becomes stale; deleting a saved link never changes the original YouTube video.
Your choices
You can remove content you are allowed to manage and can ask the AD4x4 Board about access, correction, or deletion through the club's official channels. Removing photo location metadata before upload prevents the gallery from displaying it.
Security and contact
We use access checks, audit logs, and other reasonable safeguards, but no online service can guarantee absolute security. For privacy questions or requests, contact the AD4x4 Board through the club's official communication channels.
